City Hub Terms and Conditions

The following Terms and Conditions for the hire of the City Hub (the Venue) have been prepared for each party to be aware of their obligations. Please read them in full including any specific requirements for individual facilities.

Please keep a copy of these Terms and Conditions for your reference.

Your booking will be confirmed once you have accepted these Terms and Conditions of Hire. Once the booking is confirmed, you will be given a code to let yourself in to the Venue.

By accepting this Agreement, I confirm that I have read and understood the full terms and conditions of hire, I am at least 18 years of age and have the authority to accept this agreement.

I understand and accept that the information provided for my booking may be shared with NZ Police if required.


Bookings

  • The Council is not bound to accept any bookings. Repetitive and/or long-term bookings may not be accepted, to ensure inclusive availability for all community groups.
  • There may be instances when your booking may be cancelled due to other high-profile events. We will do our best to find another time for you, however this may not always be possible.
  • Set up and take down time is included in the hire period, and the Venue must be vacated by the time stipulated. Failure to do so may incur declining or cancelling any future bookings.
  • If you need to cancel or amend your booking, we would appreciate at least 24 hours’ notice.
  • A minimum of 3 business days’ notice is recommended for booking the Venue, otherwise booking requests may be missed due to other operational commitments.


Hirer's Responsbilities

Liability

Porirua City Council is not responsible for the loss or damage to any Hirers’ property in or around the Venue. Any equipment or property left in the Venue is at the Hirers’ risk.

Alcohol

Users of the Venue are NOT permitted to supply alcohol or allow alcohol to be consumed on the premises at any time.

Smoking

Users of the Venue are NOT permitted to smoke or vape in any area of the Venue.

Health & Safety

As the Hirer, you are responsible for the health and safety of your group. You may refer to The Health and Safety at Work Act 2015 (on MBIE’s website) or the Health and Safety guidance of the Council (on Council’s website).

Please familiarise yourself with the evacuation procedures in case of fire and ensure all emergency exits are clear and free of any obstacles – this includes all tables and chairs.

It is the responsibility of the Hirer to provide first aid supplies.

The Hirer is responsible for ensuring that the public, other than those in your group, does not have access to the Venue, including the toilets during the Hire Period.

Cleaning & Rubbish

The Hirer will ensure the Venue is clean and tidy when leaving and will provide all cleaning equipment. Hot water, mop, bucket, vacuum cleaner, and broom are supplied at the Venue.

The Hirer is responsible for wiping down benches, tables, stoves, and sinks, removing all decorations, mopping up spills and sweeping/static mopping of the floor.

The Hirer must provide rubbish bags and remove all rubbish off site at the end of the Event.

Furniture & Equipment

Hirers are responsible for setting up, cleaning, and packing away any furniture and equipment used, and returned to the storage area.

Furniture is NOT to be removed from the site.

It is the Hirer’s responsibility to ensure all furniture brought in externally for an Event is removed by the end of the Hire Period. We reserve the right to dispose of any equipment or furniture left in the Venue after the Hire Period.


When you leave, please ensure all doors are locked, and lights and fan turned off.
