Official information

You can request information from us and we'll supply it unless there's a valid reason not to.

We are committed to conducting our day-to-day business openly and making decision-making processes and information available and accessible.

You are welcome to request more detail from us at any time.

How to make a request

You can make a request for official information under the Local Government Official Information and Meetings Act 1987 (LGOIMA) or the Privacy Act 1993.

We will usually answer your request within 20 working days, although we may take longer if, for example, we need more time to gather the information.  We’ll let you know if there’s a delay and tell you the reason for it. 

Generally, there will be no charge for your request. Occasionally however we may charge for processing an official information request under guidelines set down by the Ministry of Justice. This may be considered if a request is for a significant amount of information, or requires substantial collation and research.  We'll let you know in advance if that's the case.

If you wish to provide supplementary information, please email this separately to records.management@poriruacity.govt.nz clearly identifying the contents.

We may charge for processing an official information request, under guidelines set down by the Ministry of Justice.  

These fees apply from 1 July 2017 and include GST.

Time spent compiling information (after the first hour) $61.00 per half hour
A4 photocopies (after the first 20 copies) $0.20 each
A3 photocopies (after the first 4 copies) $1.00 each

If you are an individual, you can ask for any personal information we may hold about you under the Privacy Act 1993.

Publication of responses to official information requests

We may publish our responses to requests for official information that we consider are of wider public interest (under the Local Government Official Information and Meetings Act 1987).

In order to protect the privacy of individuals, we will not publish personal information about individuals.
